The work between systems

Every system holds part of the picture. Someone still has to carry the work through.

The picture is spread out

An investment manager’s operational work spans inboxes, documents, portfolio records, banks, custodians, administrators, and counterparties. No single system sees the whole event.

People connect the pieces

Today, employees read the notice, match it to the position, check the administrator against the bank, track the obligation, investigate the discrepancy, chase the counterparty, and confirm it is done.

AIMO is being built to take that on

As a coordinated team: it identifies what needs to happen, gathers and validates the information, performs permitted actions, coordinates follow-ups, resolves or escalates exceptions, verifies outcomes, and retains evidence.

An operations team that works across your systems.

How AIMO fits

Your firm. Your systems. One coordinated middle office.

AIMO sits between the systems you already run. Leadership supervises the function through the Console. Mo coordinates. The desks do the work. Your systems of record, service providers, and approved AI keep their roles.

The coordinator

Meet Mo. Your middle office has a point of contact.

Mo
AI coordinator · primary point of contact

Mo is the colleague your firm contacts to get operational work handled. Mo receives requests, identifies what needs attention, brings in the appropriate desks, follows up with counterparties, tracks obligations, and reports outcomes.

  • Receives requests from the investment team, finance, legal, and compliance, and inbound messages from counterparties.
  • Identifies what needs to happen, including events that should have arrived and did not.
  • Brings in the right desks, and keeps them coordinated while the work spans hours or weeks.
  • Chases agents, administrators, and brokers within policy, and escalates what needs a person.
  • Reports outcomes in a daily brief and answers questions about the status of any item.

The team

A full middle office. Organized into specialist desks.

Each desk is a specialist AI employee with defined responsibilities, procedures, tools, and permissions. Each desk exchanges requests and results with Mo, which supplies context and coordinates supporting desks. Expand a desk to see its inputs, outputs, and the related desks Mo brings in.

Deployment follows an agreed scope, desk by desk. “Complete middle-office team” describes the functional breadth AIMO is being built to cover. What a given firm activates is its mandate. The desks introduced at launch, and the desks activated for a particular client, are a subset agreed in advance.

Every desk shares the same operating layer: firm context, procedures and workflow state, calculation and validation tools, system connections, permission and approval rules, and evidence.

Why AIMO

Who carries the work through?

AI can help with individual tasks. Someone still has to notice what matters, prioritize the next action, follow up, and save the evidence. Four moments show where that work can slip—and how Mo coordinates it.

Notice & collect

Responsibilities 1–2
Employee · potential risk

The urgent item gets buried.

An employee can overlook a notice, postpone it behind other work, or forget a required document.

AIMO · coordinated by Mo

An event with an owner and a deadline.

Mo identifies the work, tracks the obligation, and gathers the sources needed by the owning desk.

Establish the facts

Responsibilities 3–6
Employee · potential risk

A gap becomes an assumption.

An old attachment, unchecked formula, or unanswered query can carry through when time is tight.

AIMO · coordinated by Mo

Sources, checks, and tracked exceptions.

Mo supplies context to specialist desks, coordinates validation, and tracks missing information through resolution or escalation.

Approve & act

Responsibilities 7–8
Employee · potential risk

The handoff loses its place.

An approval can be chased too late; after an interruption, one update may be missed or entered twice.

AIMO · coordinated by Mo

Authority and action stay connected.

Mo routes the exact instruction for approval, then coordinates permitted updates through the shared controls.

Verify & retain

Responsibilities 9–10
Employee · potential risk

“Sent” becomes “done.”

The employee may move on before checking the outcome, or forget to save the workings and approval.

AIMO · coordinated by Mo

Verified results with a retained record.

Mo coordinates independent checks and brings the evidence together before the event is closed.

See all 10 responsibilities The risk and AIMO response at each step
  1. 01Identify an incoming event or approaching obligation.

Potential employee-side riskA notice can be overlooked, or its deadline left off the calendar while more visible work takes priority.

With Mo coordinatingMo monitors the agreed inboxes and obligations, opens the event, and tracks its deadline and owner.

  2. 02Gather documents and system records.

Potential employee-side riskA document can be forgotten, or an older attachment used because the latest version was never collected.

With Mo coordinatingMo gathers source records through approved connections and asks Data & Documents to check completeness and versions.

  3. 03Match the event to the correct fund, entity, and position.

Potential employee-side riskA similar fund name, entity, or security can be matched to the wrong holding.

With Mo coordinatingMo supplies the shared fund, entity, and position context. Data & Documents returns a match or an ambiguity for resolution.

  4. 04Interpret the information and check authoritative sources.

Potential employee-side riskAn amendment or conflicting source can be missed, leaving the work based on outdated terms.

With Mo coordinatingMo supplies the governing sources to the owning desk. The desk checks precedence and amendments and returns conflicts to Mo.

  5. 05Calculate and validate the expected outcome.

Potential employee-side riskA copied formula, manual entry, or unchecked assumption can carry an error into the instruction.

With Mo coordinatingThe specialist desk uses tested calculation tools, validates the result, and returns its workings to Mo.

  6. 06Investigate discrepancies and obtain missing information.

Potential employee-side riskA query can be sent and then forgotten; the unresolved difference stays buried in an email thread.

With Mo coordinatingThe desk raises the difference with Mo. Mo tracks the query, follows up, and escalates unresolved items to a named person.

  7. 07Prepare actions and obtain required approvals.

Potential employee-side riskAn approval can be chased too late, or a later change can make the approved instruction out of date.

With Mo coordinatingMo routes the exact prepared instruction to the authorized person. Shared controls check authority and whether a change requires fresh approval.

  8. 08Update authorized systems and communicate within policy.

Potential employee-side riskOne system can be updated while another is forgotten, or an instruction entered twice after an interruption.

With Mo coordinatingMo coordinates the permitted updates and their status through the shared connections. Human cash-release and signing rights remain reserved.

  9. 09Follow up and independently verify the result.

Potential employee-side riskA sent instruction or acknowledgment can be treated as completion without checking the actual outcome.

With Mo coordinatingMo gathers independent outcome records for Reconciliation and Controls & Audit. The event remains open while required checks are unresolved.

  10. 10Retain evidence and close the work.

Potential employee-side riskThe email, workings, or approval may never be saved to the event, leaving the evidence incomplete.

With Mo coordinatingMo brings the sources, workings, approval, action, acknowledgment, and verification into one retained event record before closure.

The risk sits between the steps.

Every step above gets done in both columns. What differs is what the function can rely on when the work is queued behind someone, when leadership asks for status, and when an auditor samples the period.

When one person holds the process
When the operating layer holds it
Timing
An obligation waits for the person who owns it — through meetings, leave, month-end and whatever else landed that morning. The cut-off does not move because the queue is long.
Work is distributed across desks that each hold their own procedures and permissions, so an obligation is not queued behind one calendar.
Visibility
What is done, open or late is a question you ask, not a view you open. Status lives in a mailbox, a spreadsheet and someone’s memory of Tuesday.
Every event carries a state — open, exception, awaiting approval, verified, closed — so completion, ageing and cut-offs are reportable rather than anecdotal.
Evidence
Sources, workings and approvals end up spread across mailboxes, drives and local files, then get reconstructed when an auditor samples the period. What cannot be produced reads as a control gap.
Each event is intended to close with its sources, calculation, approvals, action, acknowledgment and independent verification attached, assembled as the work happens.
Consistency
How an edge case is handled depends on who is on duty and what they recall of the last one. Calculations get rebuilt in a fresh spreadsheet each time.
Each desk applies tested procedures for its event types, and money math runs in deterministic code rather than a spreadsheet rebuilt per event.
Continuity
Operating knowledge is learned by doing and leaves with the analyst. A departure or a handover restarts part of the learning curve.
Procedures, firm context and the history of how events were resolved stay with the function rather than with an individual.
Capacity
A new fund, counterparty or event type adds load to the same people, until it becomes a hiring and training cycle.
New funds, counterparties and event types are intended to extend the desks and procedures already running, within the scope the firm agrees.

Illustrative, and written about the arrangement rather than the people. A capable operations team manages all of this today; the point is what it depends on to do so.

The work isn’t done when an answer is generated. It’s done when the outcome is verified.

Mo coordinates the desks, the systems, the follow-ups, and the evidence.

What that operational capability includes
  • Specialist procedures for each desk
  • Persistent firm context: funds, entities, positions, counterparties, obligations
  • Coordination over time, across desks and counterparties
  • Tested calculations, kept in deterministic code
  • Controlled system actions within authorized access
  • Exception handling and escalation
  • Follow-ups until the item is closed
  • Independent verification of outcomes
  • Evidence on every action
In plain terms

What AIMO is, and what it is not.

A coordinated middle-office operations team, with Mo and specialist desks carrying the work through.

A single assistant, or a collection of unrelated automations.

Works with your existing systems of record and service providers.

A new platform you migrate to, or a requirement to replace what you run today.

Designed to use your firm’s pre-approved internal enterprise AI models.

A requirement to switch to a proprietary AIMO model.

Operational execution and coordination: it identifies, reads, matches, calculates, prepares, updates, chases, verifies, and escalates.

A question-and-answer interface over your documents.

A connected function across the middle office.

One isolated workflow.

Works alongside your administrators, custodians, and legally appointed agents.

A claim to their formal roles or appointments.

Oversight and evidence

Operational responsibility. Clear authority.

AIMO is intended to do the routine coordination and the permitted execution. Leadership supervises the function. Certain decisions and actions are reserved for authorized people, and the design keeps them outside the desks’ own credentials rather than relying on instruction alone.

Reserved for authorized people

These are institutional boundaries within the operating model. AIMO prepares, calculates, and evidences up to the boundary. A person decides or releases.

  1. ReservedRelease of outgoing cashAIMO prepares wires and instructions. Only a person with banking entitlements releases them.
  2. ReservedSignatures and formal appointments
  3. ReservedInvestment, legal, tax, valuation, NAV sign-off, and compliance determinationsAIMO prepares the workings and the evidence. A person makes the determination.
  4. ReservedCommunications requiring new authority or commitmentsA message to a new recipient, containing a commitment, or outside the mandate’s policy.
  5. ReservedChanges to permissions and the operating mandate
  6. AIMOEverything else in scope: reading, matching, calculating, preparing, updating within authorized access, reconciling, chasing, answering, verifying, and proving.

Every event is intended to carry a record like this one: what was received, how it was interpreted and calculated, who approved what, what was done, what came back, and how completion was independently checked.

Intended controls

Least-privilege access per desk. Prepare, approve, and commit as separate rights. Approval routing bound to the payload. Segregation of duties. Materiality thresholds per event type. Money math in deterministic code, never left to a model.

What is not claimed

AIMO is in development. This page does not claim certifications, audited results, production reliability figures, security guarantees, or data-residency commitments. Those are established with each firm through its own review.

Data handling

AIMO is designed to use qualified models inside the firm’s approved enterprise AI environment for reasoning. AIMO itself processes and retains operational data to run workflows and keep evidence. Where that data lives and how it is protected is agreed with each firm.

Initial market focus

Starting with private credit and asset-based finance.

The middle-office vision spans the alternatives universe. The initial rollout begins where the operational load between systems is heaviest: managers of private credit and asset-based finance, where notices, contractual calculations, funding, reconciliations, and counterparty follow-up arrive every day and rarely fit inside one system.

  • High event volume that lands in inboxes and PDFs rather than feeds
  • Calculations that depend on contract terms and amendment history
  • Many agents, servicers, and administrators to reconcile against and chase
  • The same desks, procedures, and controls extend to other strategies over time

The proposed adoption approach

  1. Understand the firmFunds, entities, systems, event volumes, service providers, deadlines, and the people who own each decision.
  2. Define operational coverageAgree which desks, event types, and funds are in scope, and where the reserved decisions sit.
  3. Connect agreed systems and approved AIScoped, read-only access first. Your pre-approved enterprise AI environment connected on your terms.
  4. Prove the work in shadow modeAIMO runs alongside your team on real events without acting, and its outputs are compared with what actually happened.
  5. Introduce responsibilities desk by deskPermitted actions are enabled by event class as they pass acceptance, under the controls agreed with the firm.

Timelines and outcomes depend on the firm’s scope, systems, and review process. No implementation dates or production outcomes are promised here.
